DD #26 – Managing daily tasks with monday.com
Welcome back to the first full edition of the Digital Directive in 2023, Edition #26!
Last year was a crazy year in the business world no matter where you’re located or what industry you operate within. It was a year that tested the will of many companies, teams, and individuals.
With people back in the office, gears turning, and work starting to flow in, how’s your team planning to manage their tasks this year? At CarbonWeb, we’re using Ol’ Reliable (aka the TO-DO Suite) to automate tasks and keep ourselves on track throughout the year.
Automation over procrastination
When it comes to a daily checklist, we all know how it goes… First, you complete the easy things, then you look at it for a second or two and immediately decide what you’re not going to do. For one reason or another, we all as humans love to make lists and only complete half of them.
Task management’s soul intended purpose, is to prevent this from happening. With the use of structured groups, and automation based on date and status you’ll always find the work you need to get done.
It’s pretty simple to set this type of system up for yourself. Here’s how we do it. First, you need a board with date, status, and people columns to help guide your automations.
From here, there are four core automation that will help your task completion journey flourish.
1.) When Date arrives, change status to Sprint
This automation allows you to pre schedule tasks and have them automatically arrive in your focus group on the day you need thanks to the next automation.
2.) When Status changes to Sprint item moves to Today’s Tasks
This automation tracks all your items, so whenever a status is changed to sprint, they will be moved to your focus group automatically.
3.) When Status changes to Completed item moves to Completed Tasks
This automation moves items away once you’ve finished the task and flipped the status, to allow for better record keeping and organization.
4.) 1 Day after Date arrives if Status is Sprint item moves to Overdue Tasks, change Status to Overdue and notify Owner
This automation holds you accountable, by tracking the completion of sprinted tasks with assigned dates, ensuring no tasks goes undone and unseen.
