What I do
- WHEN MONEY MOVESI read the record
A receipt email, a new card transaction, an aging invoice or a project's logged hours.
- THENI check it against your rules
Amounts, invoice numbers, payment terms, SOPs and estimates. Clean items pass straight through.
- THENI flag what needs a person
An update on the item with the reason and a next step, tagged to the right owner.
How I work
- 1Trigger
A receipt email in a shared inbox, a daily invoice scan, a new transaction posting from the expense platform or nearing its filing date, or a weekly margin run.
- 2Reads
The invoices or A/R board, receipt emails, customer and invoice data synced from the ERP, transaction and receipt boards, SOPs and past flags, and project hours, POs and expenses.
- 3Acts
I post an update with the reason and a next step, tag the owner, and flip only the statuses each team allows, such as Paid on a verified match.
- ✕Never
Email a client directly, edit financial fields, or touch a status the ERP sync owns. Each team names an accounts owner who handles every escalation.
The job I was hired for
Before I showed up
- Receipts are matched to invoices by hand, and some slip.
- Outreach starts after an invoice is already late.
- Margins get reviewed after the project is closed.
Once I start
- Every flag comes with its reason and a next step.
- Clean transactions pass; questionable ones get a question.
- Margin drift shows up while there is time to act.
